How to plan a meeting across time zones

  1. Check the world clock – your own time zone is added first.
  2. Add the cities of everyone joining.
  3. Choose the date and meeting length.
  4. Click an hour in the grid, then copy the times for your invite.

Tips for international meetings

  • Green cells are normal working hours in each city – aim for a column that’s green or amber for everyone.
  • Watch the date: a morning call in London can be the next day in Sydney or Auckland.
  • Mind the clock changes: the UK, Europe and North America change their clocks on different dates. The planner allows for this automatically for the date you choose.
  • Rotate early and late slots so the same people aren’t always joining at awkward times.
